This article explains how to use the Bulk Edit feature to edit the details of submissions in bulk in your Clappia app.
Consider the below app as an example. Notice the fields in the app.
These are the submissions already present in the app. You can edit the details of these submissions using the Bulk Edit feature present in the Submissions tab itself.
A right panel will be displayed where you can download a blank spreadsheet which contains the fields of your Clappia app.
The blank spreadsheet file with the .xlsx extension will be automatically downloaded. You will get a blank spreadsheet with the App ID as it's name.
Corresponding to the example Clappia app, this is how the blank spreadsheet looks like.
Click on Enable Editing to add data in the spreadsheet.
Add the data you want to change corresponding to the appropriate submission id below the respective headers in the spreadsheet appropriately.
Note: Do not change the headers.
Make sure to save the .xlsx file after you enter the data in it.
After saving, upload the same spreadsheet back. You can drag-and-drop the file or click and select the file. Once the file is selected click the upload button.
Once the upload is complete the status is shown below.
After uploading the edited data click on the refresh button to see the details of the submissions changed in the submissions table.
Here you can see the details of the submissions changed in the app through Bulk Edit.
All the entries will be saved as different submissions with unique submission ids.
Select the submissions and select the field to be edited from the right panel.
Note: As of now, this feature supports the following blocks - Single line text, Multi-line Text, Drop-down, Single selector, Multiple Selector, Date, Time, Ratings, GPS Location, Phone Number, Counter, Slider.
Workflows in Clappia run on individual submissions, such as when a user submits or manually edits a record. However, when using Bulk Edit from the Submissions tab, workflows are not triggered, even though new submissions may be added or existing ones updated.
This is because workflows are designed to process one submission at a time. Triggering them for bulk operations can lead to incomplete or inconsistent results, especially for complex workflows.
If you need workflows to run after a bulk operation, currently you will need to open each submission manually and save it. This will count as an edit and trigger the workflow normally.
