Workplace Logs

Workplace Logs allow administrators to monitor and track all activities that happen at the workplace level in Clappia. These logs provide a complete history of changes, including settings updates, user actions, and app-level modifications inside the workplace. They are useful for auditing, troubleshooting, and keeping track of who performed what actions and when.

Unlike All Logs, which show logs for individual apps, Workplace Logs bring everything together in one place covering both workplace-level events and app-level events. Workflow Logs are not included here. You can think of All Logs as subsets that feed into Workplace Logs.

Accessing Workplace Logs

To open Workplace Logs:

Log in to your Clappia dashboard. From the left navigation panel, go to Workplace Settings. Select the Logs tab at the top.

You will now see a timeline of workplace events, starting from the most recent.

What Workplace Logs Show

Workplace Logs include activities such as:

Workplace-level changes

  • Updates to Workplace Preferences
  • Edits to settings such as SMTP, Language, Date/Time, File Size Limits, and more
  • User additions, removals, or role changes
  • Any other updates made under Workplace Settings

App-level changes

  • Creation of new apps
  • Deletion or archiving of apps
  • Changes made to existing apps (e.g., adding or removing fields, updating blocks, editing validation rules)

Submission-related actions

  • New submissions added
  • Submissions edited or updated
  • Submissions archived or removed

File downloads

  • Logs of whenever a submission file is downloaded
  • Includes export format and a clickable link to download the same file again (if applicable)

User Access/Removal

Workplace Logs

Workplace logs also record when users are added to or removed from the workplace. This is particularly useful in bulk user operations. For example, if an admin bulk uploads users to provide access, the entire list of added users is captured in a single log entry. By clicking on that log entry, the admin can view details like name, email, and phone number of each added user. This log entry can also be filtered from the search bar to quickly review all recent user additions or removals.

Essentially, anything you see under All Logs for an individual app will also appear in Workplace Logs but aggregated across all apps. This makes Workplace Logs the most comprehensive log view available in Clappia.

Using Search and Filters

Workplace Logs include a search bar at the top of the page that helps you quickly filter and locate specific events.

  • You can filter by Event Type (e.g., Edit App, Submissions, File Download, Edit Workplace).
  • You can filter further by choosing conditions (e.g., Equals, Contains) and entering your search value.
  • Click Search to apply filters or Clear to reset them.

Additionally, any text shown in blue (e.g., App ID, Event Type, User, etc.) is clickable. When you click on it, that value is automatically added as a filter in the search bar. This makes it easy to drill down into logs related to a particular app, user, or event.

Viewing Details

Clicking on any log entry opens a right-side panel with detailed information about that event. This panel may include:

  • App ID and Version (for app-related actions)
  • Event Type (e.g., Edit App, Submissions, File Download)
  • Sub Event Type (e.g., Add Field, Remove Field, Submission File Download)
  • User who performed the action (name and email ID, if available)
  • Timestamp of when the action occurred
  • Block Label and Field Type (for app changes)
  • Section Name and Index (to identify where changes were made in an app)
  • Operating System, Browser, Device, and Platform from which the action was performed
  • For file downloads:
    • Export Format
    • Download File (blue link to download the same file again)
    • Filters used for the export

This detailed view ensures admins can audit not just what happened, but exactly how and where it happened.

Viewing Uploaded and Downloaded Files in Logs

Workplace Logs also allow you to download the same file that was downloaded earlier from the system. If you click into a log entry for a file download, the right panel will show a Download File link. This enables admins to retrieve exported files again without needing to repeat the export process.

Important Notes

  • Workplace Logs combine both workplace-level actions and app-level actions.
  • All Logs for individual apps are essentially subsets of what is shown in Workplace Logs.
  • Workflow Logs are not part of Workplace Logs. They remain separate and need to be accessed from the Workflow Logs section.
  • The clickable filters (in blue text) and search bar make it possible to quickly find and narrow down logs for specific users, apps, or actions.
  • Workplace Logs provide full transparency and accountability for everything happening in your Clappia workplace.
  • Log Retention: Logs older than 6 months are automatically deleted. Note key activities before they expire.
  • Export Limitations: Currently, All Logs cannot be downloaded in bulk.
